Boiler Replacement Project – Commons Area Dolores School District

1. Introduction

The Dolores School District (the “District”) is soliciting sealed proposals from qualified, licensed mechanical contractors addressed to the Dolores Board of Education, to remove and replace an existing Raypak boiler system with new Lochinvar high‐efficiency, modulating boilers serving the Commons area. The intent of this project is to improve system reliability, energy efficiency, and long-term operational performance.

2. Project Overview

Project Location: Dolores School District – Commons Area, Dolores, Colorado Existing Equipment: Raypak boiler (to be removed and properly disposed of)
Proposed Equipment: Lochinvar high‐efficiency, condensing, modulating boilers (or approved equivalent, if allowed)
Project Type: Boiler replacement (remove and replace). The selected contractor will be responsible for all labor, materials, equipment, permits, coordination, and
inspections required to deliver a fully functional, code‐compliant heating system.

3. Scope of Work

The scope of work shall include, but is not limited to, the following:

3.1 Demolition and Removal
Disconnect, remove, and properly dispose of the existing Raypak boiler and associated components
as required. Cap or modify existing piping and utilities as necessary during demolition.

3.2 New Boiler System Installation
Furnish and install new Lochinvar high‐efficiency, condensing, modulating boiler(s), properly sized for the existing heating load of the Commons area.
Install all required piping, valves, pumps, expansion tanks, air separators, and accessories to ensure a complete, operational system.
Provide new venting and combustion air systems compliant with manufacturer requirements and applicable codes. Integrate new boilers with the existing heating distribution system.

3.3 Controls and Integration
Provide and install boiler controls per Lochinvar manufacturer specifications.
Coordinate integration with existing building automation or control systems (if applicable). Program and commission the boiler controls to ensure efficient operation and proper modulation.

3.4 Electrical and Gas
Provide all electrical connections, disconnects, and control wiring required for the new boiler system.
Modify or install natural gas piping as required to support the new equipment.

3.5 Testing, Commissioning, and Training
Perform start‐up, testing, and commissioning of the new boiler system. Verify proper operation under various load conditions.
Provide on‐site training for District maintenance staff covering operation, basic troubleshooting, and routine maintenance.

3.6 Permits and Inspections
Obtain all required permits.
Coordinate and pass all required inspections.

4. Equipment Requirements

Boilers shall be Lochinvar high‐efficiency, condensing, modulating units with a minimum thermal efficiency of 90% or greater.
Equipment must be new, current‐model, and UL-listed. Boilers shall include manufacturer warranties.
Any proposed substitutions must be clearly identified and approved by the District prior to consideration.

5. Contractor Qualifications

Proposing contractors must:
Be properly licensed and insured in the State of Colorado.
Have a minimum of five (5) years of experience installing commercial high‐efficiency boiler systems.
Demonstrate prior experience with Lochinvar or similar modulating boiler systems. Provide at least three (3) references for comparable projects.

6. Proposal Requirements

Proposals shall include the following:
Company Information – Name, address, contact person, phone number, and email. Project Approach – Description of proposed equipment, system layout, and installation methodology.
Equipment Details – Boiler model numbers, capacities, efficiency ratings, and warranties. Project Schedule – Estimated start and completion dates.
Cost Proposal – Lump‐sum cost including labor, materials, permits, and all associated expenses.
References – At least three (3) relevant project references. Exceptions or Clarifications – Any deviations from this RFP.

7. Mandatory Site Walk

A mandatory site walk will be held for all prospective bidders. Attendance is required for a proposal to be
considered responsive.
Date and time will be provided in the project schedule.
Contractors will have the opportunity to review existing conditions, access constraints, and utility connections.
Questions arising from the site walk must be submitted in writing by the deadline identified in the project schedule.
Failure to attend the mandatory site walk will result in disqualification.

8. Evaluation Criteria

Proposals will be evaluated based on the following criteria:
Completeness and responsiveness to this RFP Experience and qualifications of the contractor Quality and suitability of proposed equipment Project schedule
Total cost
The District reserves the right to accept or reject any or all proposals and to select the proposal deemed to
be in the best interest of the District.

9. Project Schedule (Anticipated)

RFP Issued: January 28, 2026
Questions Due: February 6, 2026
Mandatory Site Walk: February 10, 2026
Proposals Due: Feb 16, 2026
Award of Contract: February 20, 2026
Project Start: June 2026
Project Completion: June 2026

10. Terms and Conditions

All work shall comply with applicable local, state, and federal codes. Contractor shall maintain a clean and safe work site at all times.
Work shall be coordinated to minimize disruption to school operations.
The final payment shall be contingent upon successful completion, inspection approval, and the submission of all close-out documents.
